Working atmosphere at the Helmholtz Centers

Thank you for participating in this survey!

You are invited to participate in a research study designed and evaluated by Prof. Dr. Isabell Welpe, Prof. Dr. Theresa Treffers, and Nadja Born for the Helmholtz Association.

The Helmholtz Association consists of 18 member institutions, including your employer. The aim of the study is to better understand how employees within the Helmholtz Association experience belonging, psychological safety, leadership, and fairness. Your perspective is important in order to find out what the working atmosphere is like at the Helmholtz Centers. Your answers will provide valuable insights for both Helmholtz and scientific research.

The questionnaire takes about 15 minutes to complete. A high level of participation is crucial to ensure representative results.

Participation is completely voluntary. The survey does not record your name. You can cancel the survey at any time by closing the website. Only fully completed responses will be evaluated.

The results will only be reported in aggregate and anonymized form (e.g., in tables or graphs), so that no conclusions can be drawn about individuals. No personal raw data will be passed on to your research center, Helmholtz, or other bodies.

Before you begin:

  • Your data will be treated confidentially and will only be accessible to the research team evaluating the survey.
  • For some questions, several possible answers are shown together to minimize the risk of drawing conclusions about individual persons even in the raw data.
  • All publications or disclosures of data are strictly in accordance with the General Data Protection Regulation (GDPR) and use only anonymized and aggregated results.
  • The survey is securely hosted on DKFZ servers using LimeSurvey.
  • There are no right answers. We are interested in your views.
  • Please answer all questions with your center in mind.

2. What data do we use and where do we get it from?

We process personal data that we have collected directly from you.

The following personal data are processed:

  • data on the quality of the working environment, sense of belonging and psychological safety, equal opportunities, discrimination, leadership, internal services, demographics.

We also process particularly sensitive information, e.g., about:

  • sexual orientation/identity,
  • migration background,
  • physical and mental health status,
  • religion,
  • experience of psychological or physical violence at work,
  • sexual harassment.

Your participation is entirely voluntary.

3. For what purpose do we process your data?

We would like to assess the extent to which employees feel they belong to their Helmholtz Center. We aim to enable a benchmarking on Diversity, Equity and Inclusion for each participating Helmholtz Center. This survey is intended to establish the necessary empirical basis. Feedback to center management/ board of directors will be anonymous.

4. On what legal basis do we process your data?

We process the personal data mentioned in section 2 in accordance with the provisions of the GDPR and the German Federal Data Protection Act (BDSG):

a) Based on your consent (Art. 6 para. 1 lit. a) in conjunction with Art. 9 Abs. 2 lit. b GDPR).

At the start of your voluntary participation in this survey, you can consent to the processing of your data. Without your consent, you cannot participate in this survey.

5. Who receives your data and how is it processed?

The survey is carried out via LimeSurvey@DKFZ. DKFZ is obligated as a processor by the conclusion of a data processing agreement according to Art. 28 GDPR to comply with the rules of data protection according to the EU General Data Protection Regulation (GDPR).

The DKFZ transfers the raw data without time stamps and IP addresses to the processors Prof. Dr. Isabell M. Welpe, Prof. Dr. Theresa Treffers and Nadja Born. The raw data will not be disclosed to the board of directors of the respective Helmholtz Center or to the Helmholtz head office. The raw data contains extensive data sets which, when combined, cannot exclude a personal reference. Therefore, the raw data is treated as personal data.

Aggregated, center-specific reports will be provided.  These reports are produced on the condition that the number of participants allows for anonymization. This means, in particular, that at least five people must have answered a question for the answers to be included in the respective center-specific report. Furthermore, the center-specific reports only contain the aggregated answers if their combination amounts to at least five. Center-specific reports are compiled with due care, particularly with regard to particularly sensitive personal data.

6. How long will your data be stored?

  • We process and store your personal data only as long as this is necessary for the preparation of the evaluation.
  • After the survey is completed, the raw data will be deleted after one year at the latest.
  • Anonymized datasets in the terms of the GDPR may be used for scientific purposes beyond this.

7. What data protection rights do you have?

If your personal data is processed, you are a data subject within the meaning of the GDPR, and you have the following rights against the responsible parties according to the provisions mentioned below:

  • the right to withdraw your consent at any time (Art. 7 GDPR),
  • the right to access data stored about you (Art. 15 GDPR),
  • the right to correct or complete incorrect or incomplete data (Art. 16 GDPR),
  • the right to immediate deletion of data concerning you, for example, if the purpose of processing has been achieved or your personal data has been unlawfully processed (Art. 17 GDPR),
  • the right to restrict processing, for example, if you dispute the accuracy of your personal data or the processing was unlawful (Art. 18 GDPR)
  • the right to data portability if the processing is based on Art. 6 Abs. 1 lit. a GDPR or Art. 9 Abs. 2 lit. a GDPR or on a contract according to Art. 6 Abs. 1 lit. b GDPR and no exception applies (Art. 20 GDPR),
  • the right to lodge a complaint with the competent supervisory authority (Art. 77 GDPR).                                                            

Declaration of consent

I consent to the processing of my personal data for the purpose of conducting the “Helmholtz Survey on the Working Atmosphere” by the Helmholtz Association of German Research Centers and its 18 member centers Alfred Wegener Institute, Helmholtz Center for Polar and Marine Research, SdöR, German Electron Synchrotron DESY, SdbR, German Cancer Research Center, SdöR, German Center for Neurodegenerative Diseases e. Participation in this survey is voluntary. Based on the first question, I can decide whether additional sensitive data about myself relating to sexual orientation and identity, migration background, physical and mental health, disability, and religious beliefs may be processed.

This declaration of consent then expressly covers the processing of this sensitive data in the event of my corresponding answer to the first question. Part of the processing involves anonymizing my answers so that no conclusions can be drawn about my person. The data concerning me will be published exclusively in aggregated form. The raw data will be stored for one year after publication. I can revoke this declaration of consent at any time with effect for the future, as long as and to the extent that it is possible to identify me personally.
